2. Privacy Policy and Cookies

We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so.

You are legally entitled to request details of the personal information which we hold about you, under the UK’s Data Protection Act 1998.

If you sign up to our newsletter we may use your email address to send you information about products or services.

3. Hire Bookings Cancellation Policy

Hire bookings are subject to a 7 day cooling off period in cases where the booking is made more than 14 days prior to the booking date.  If a booking is made inside of 14 days from the booking date no cooling off period exists.

Bookings may be cancelled up to 30 days in advance of the booking date and a full refund, store credit or alternative booking date will be offered.

Bookings cancelled at 30 days to 14 days from their booking date are offered the opportunity to re-book on another date or may instead take a store credit to the value of the booking. The store credit can be used against any goods or services offered by Beics Brenin. This store credit must be used within 12 months of the original hire booking date.

When a booking is cancelled inside of the 14 days prior to the booking no refund, re-booking date or store credit alternative is offered.

Sometimes it may be necessary for Beics Brenin to cancel a hire booking, this could be in cases where factors beyond our control such as extreme foul weather, site closure, staff illness, or other unforeseeable natural event render us unable to go ahead with a booking. In these cases Beics Brenin will offer a full refund or transfer of the booking to a mutually convenient date. No liability shall be accepted on the part of Beics Brenin for any external costs, travel or accommodation expenses that arise from our need to cancel a booking. We advise taking out suitable travel/booking cancellation insurance should you wish to protect against such losses. 

4. Bike Hire – Individual Terms and Conditions for Bike Hire

All hire bookings require payment in full. We are unable to hold or reserve bikes until they have been fully paid for. In the event of cancellation your hire date can be rescheduled or the hire fee refunded up to 14 days before the hire date. No changes can be made within 14 days of the hire date.

Under the terms of our hire agreement, accident and/or crash damage is chargeable to the hirer. We offer an optional damage waiver, which covers the cost of equipment repair as a result of accident and crash damage during the hire period. If you choose not to purchase the waiver then you will be held responsible for the cost of any damage that may occur to the bike whilst it is in your possession. Please note that the waiver specifically does not cover:

Beics Brenin reserves the right to terminate the hire agreement and take possession of hire bikes, without refund if, in the opinion of company staff, the bikes are being used in a reckless manner or being wilfully abused.

Helmets are included in the bike hire price and must be used at all times.

We offer bikes suitable for riders up to 17st 9lb (112kg), unfortunately we cannot cater for riders over this weight as our supplier manufacturers specify that their products will not be suitable.

Children under 16 must be accompanied by an adult at all times.

Ebikes may not be ridden by anyone below the age of 14 years old under UK law. 

We require photo ID (driving license or passport) to be left with us for the duration of the hire period.

Rental period is from 09.30 until 16.00. Bikes returned late will be subject to a late return fee of £25.00 per 1/4 hour.

Our bikes are for use in Coed Y Brenin forest only, for trail and XC use. Bikes may not be removed from the forest park.  Bikes may not be used for competitive racing, shuttle access downhill riding or any other type of organised event.

We do not permit the fitting of child seats, child trailers or ‘tag-along’ style children’s trailer bikes to any of our hire bikes. These items are not suited to use on many of the trails at Coed y Brenin.  The fitting of stabilisers to our children’s hire bikes is also prohibited.

All hardtail bikes come supplied with flat pedals. Full suspension bikes are supplied with flat pedals, or we can supply and fit Shimano SPD clipless pedals at a small rental charge. If you would like to use your own pedals, please let us know at the time of booking and bring them along. No extra charge will be incurred, but they must only be fitted by our staff.

5. Delivery, Refund, Return and Warranty Policy

Delivery: We do not currently offer shipping direct to customer via courier or postal services. We do however offer a Click and Collect service which allows customers to order the products that they require and pay for them via our payment gateway SAGEPAY, the order will then be prepared for collection in our store. Customers will be sent an email confirming their order has been placed, then another to notify them when their goods are ready for collection. In the case of stock orders customers have the option to decide if they are completely happy with their purchase on collection of the goods and are able to obtain a full refund if the goods were not as they expected. In the case of special order items a 20% restocking fee will be charged. ON COLLECTION: Customers are required to bring photographic ID and their unique order reference to verify identity and ownership on collection.

Returns: Goods may be returned within 14 days of purchase in new complete perfect resale condition, any packaging must be unopened and complete and a full refund will be offered. Special ordered items will be liable for a 20% restocking fee. Any damage, marking or wear to the product will result in the return being refused.

Faulty, received damaged or incomplete goods: In the case of faulty, received damaged or incomplete goods, please discontinue use immediately and contact the store for further advice. If a product is found to be supplied faulty, damaged or incomplete a repair, replacement or refund will be offered.

Warranty: Goods are supplied with standard manufacturer’s warranty against failure of materials and workmanship. For full details of individual warranty cover on products please refer to the manufacturer’s own website or product manual.

6. Click and Collect (Items reserved online for collection in store)

Orders made in the web shop for collection in store will be available for collection only after the confirmation email has been sent. Ordered items that are not currently held in stock will be ordered from their supplier and will be available when they arrive in store (special order) and have been processed. If an item is no longer available from the supplier or an extended delay is expected, you will be contacted with information and offered an alternative or refund, if no satisfactory alternative is available, you will be contacted with information and a refund will be processed automatically.

In cases where an issue has arisen that prevents the fulfilment of an order, a refund will be offered.

Click and Collect orders are not ready for collection until email confirmation of order processing has been issued. We will not release orders until this email confirmation that the order is ready for collection has been sent. This confirmation should not be confused with initial order confirmation which is an automatically generated email notification of the acceptance of an order by our website.

Click and Collect – Cancellation or return.

Click and Collect orders are items reserved online to collect in store. Payment is due at the point of reservation. For items from our existing stock ordered in error or items not wanted on collection we offer the option of a full refund. For special order items we reserve the right to charge a re-stocking fee at 20% of the total value of the goods returned. In some cases cancellation 0f orders may be possible, please notify us as soon as possible.
if you wish to cancel all or part of a Click and Collect order. For items ordered in specifically from a supplier the full value of the item is due for payment and no cancellation option exists.

 7. Notices 

All notices you send us must be sent to the contact details on this site (link). We may give notice to you at either the email or postal address you provide to us when making a purchase. (Notice will be deemed received and properly served 24 hours after an email is sent or three days after the date of posting of any letter.) In providing the service of any notice, it will be sufficient to prove, in the case of a letter, that the letter was properly addressed, stamped and placed in the post and, in the case of an email that the email was sent to the specified email address of the addressees.

8. Conclusion

These terms are governed by English law. Any contract for the purchase of goods from this site and any dispute or claim arising out of or in connection with any such contract will be governed by English law. You and we both agree that the courts of England and Wales will have non-exclusive jurisdiction. However, if you are a resident in Northern Ireland you may also bring proceedings in Northern Ireland, and if you are a resident in Scotland you may also bring proceedings in Scotland.
